Overview

Location: This position will be located at our coprorate office in Franklin, TN. 

 

Work Schedule: This is a hybrid role - 3 days in office & 2 days remote

 

PURPOSE STATEMENT:

 

The Real Estate Specialist is an HQ based position responsible for collaborating with customers, real estate leads, brokers, and attorneys on all documents including contracts of leases and sales. Responsibilities include assisting with project initiation and scope definition, prioritization of assignments, and adherence to customer-driven priorities, protocols, commitments, and milestones. Also, this position supports the Real Estate Leads to ensure that all real estate purchase & sale agreements and leases appropriately protect the Company’s interests. The Real Estate Specialist position will undertake additional projects assigned by the Head of Real Estate and SVP of Facilities & Construction to support the Company’s goals and objectives.

Responsibilities

ESSENTIAL FUNCTIONS:

 

Administration & Documentation:

  • Work with outside counsel in drafting, negotiating and reviewing contracts.
  • Liaise with customers in processing transaction assignment requests and negotiation when applicable.
  • Conduct lease review and prepare NDA, LOI, SNDA, and estoppels relating to due diligence on acquisitions.
  • Prepare and review letters of intent for new transactions.
  • Draft lease amendments related to lease extensions, renewals and modifications.
  • Manage all critical dates (i.e., lease commencement, expiration, and renewal dates).

 

Customer Relationship & Operations Support:

  • Actively and consistently supports all efforts to simplify non-value add process and enhance the customer’s relationship.
  • Collaborate with Real Estate Leads, legal counsel on agreements and contract drafts to ensure compliance and alignment with strategic needs.
  • Assist in coordinating move-ins and move-outs, and "walks-through" with customers and Design & Construction team.
  • Develop and maintain positive customer relationships.
  • Effectively present complex real estate information.

 

Financial Coordination:

  • Assist with the preparation of accurate occupancy cost billings.
  • Complete CAM/RET/INS reconciliations in Excel & thoughtfully respond to tenant or landlord inquiries about the reconciliations.
  • May gather and confirm occupancy cost data for reports.
  • Participate in annual budget process.
  • Review and manage lease obligations and landlord responsibilities, including tenant improvement allowances (TIA).

 

  • Collaborate with Company’s AP/AR team to ensure accurate entry of payments/receivables.
  • Facilitate collection and review of Certificate of Insurances (COI).
  • Maintain key data reports, including the real estate approval document.
  • Research real estate agreement clauses to resolve tenant or landlord issues.

 

OTHER FUNCTIONS:

  • Support Real Estate Leads in the development of feasibility studies, evaluation of viable alternatives, and the refinement of Service Line’s real estate strategies.
  • Assist is calculating rent and sale comparable analyses and market studies.
  • May assist in producing research data on budget line items or entering budget data provided by Real Estate Leads into budget reports.
  • Track deal flow and status of negotiations.
  • Effectively evaluate cost and feasibility analyses.
  • Assist in preparing and delivering timely, accurate and complete reports.
  • Collaborate with the Real Estate Leads and Head of Real Estate to develop and execute enterprise-wide real estate solutions.
  • Perform other duties as assigned.

Qualifications

EDUCATION/EXPERIENCE/SKILL REQUIREMENTS:

  • Bachelor of Science/Business Administration, Accounting, or Economics (with a concentration in Finance or Real Estate is preferred).
  • 3+ years of corporate real estate support experience; healthcare experience preferred.
  • Adapt and solve problems through unclear, complex processes.
  • Experience with reviewing contracts and agreements
  • Excellent written communication skills with a clear, succinct writing style.
  • Prioritize workload and manage assignments effectively.
  • Highly developed interpersonal, analytical, and communication skills (verbal and written).
  • Tech-savvy with proficiency in workplace applications, including Excel, Word, PowerPoint, Dropbox, Adobe Acrobat, and Docusign.
  • Working knowledge of Stark and Anti-Kickback Statutes.
  • Co-Star, Visual Lease, and LeaseTRAC experience (a plus).

 

LICENSES/DESIGNATIONS/CERTIFICATIONS:

  • Real estate education, degrees, or licensures (a plus).
  • Real Estate salesperson’s license (a plus).
